02

Information we collect

The information we hold depends on how you use MatedSouls. It may include:

  • Account information: your name, email address, authentication information, account status and email-verification status.
  • Age and eligibility information: your date of birth so that we can confirm that you meet the age requirements for the service. Your full date of birth is not displayed to other members.
  • Profile information: information you choose to provide about yourself, such as your display name, profile description, what you are looking for and other details used to help people understand whether you may be compatible.
  • Location information: your postcode and location data derived from it where this is needed to provide distance and matching features. Your exact postcode is private and is not displayed on your dating profile.
  • LifeFit information: your answers and preferences relating to Roots, Rhythm, Relationship, Family and Future, including how important particular matters are to you.
  • Matching preferences: information such as your preferred age range, distance, relationship intentions and the gender or genders of people you would like to meet.
  • Profile photos and review information: photographs you upload and the private review or moderation status associated with those photographs. If a specialist verification service is introduced later, this notice will be updated before we rely on it for member verification.
  • Introductions and interaction information: information created when you receive introductions, express mutual interest, form a connection, use NextStep, archive a connection or use related member controls.
  • Communications: messages sent through MatedSouls and communications you send to our support, privacy or safety teams.
  • Safety and moderation information: reports, blocks, moderation decisions, safety concerns and information reasonably needed to investigate misuse of the service or protect members.
  • Technical and security information: information associated with requests to and use of the service that may be needed for authentication, bot protection, security, fraud prevention, diagnostics and protecting accounts. Depending on the service involved, this can include network, browser, device, request and security-challenge information.
  • Terms, consent and preference records: records showing when you accepted an applicable version of our Terms, made a privacy choice, gave or withdrew a consent, or changed a relevant account preference. These records may include the version, action, method and time of the choice.

Where information comes from

Most member information comes directly from you. Some technical and security information is generated automatically when you use the service. Safety information may also come from another member who makes a report, and service providers may return information needed to complete a feature you asked to use, such as a postcode lookup or security check.

03

How we use your information

We use personal information only where there is a genuine purpose for doing so. Those purposes include:

  • Creating, maintaining and securing your account.
  • Confirming that you meet the 50+ membership requirement.
  • Creating and displaying the member-facing parts of your profile.
  • Checking DateReady status and whether your current setup is ready for introductions.
  • Applying mutual eligibility rules, LifeFit information and matching preferences to select and organise suitable introductions.
  • Enabling mutual interest, connections, messaging, NextStep and related privacy controls.
  • Providing postcode-based distance and matching features.
  • Providing support and responding to privacy, account or safety requests.
  • Preventing fraud, harassment, abuse, automated misuse and other threats to members or the service.
  • Investigating reports and carrying out moderation.
  • Maintaining, troubleshooting and improving the reliability and security of MatedSouls.
  • Keeping appropriate records of Terms acceptance, consent choices and safety or compliance actions.
  • Meeting legal, regulatory or law-enforcement obligations where they apply.

We do not sell your personal information.

MatedSouls is not built around selling member data, paid ranking of members or making private LifeFit answers available to other members.

04

Our lawful bases

UK data-protection law requires a lawful basis for processing personal information. Depending on the activity, MatedSouls relies on one or more of the following:

Contract

Where processing is necessary to provide the MatedSouls service you have asked us to provide, including your account, profile, matching, introductions, messaging and member controls, or to take steps at your request before providing that service.

Legitimate interests

Where there is a legitimate need to operate, secure, protect, support and improve the service, prevent misuse and carry out proportionate safety or moderation work, provided your rights and interests do not override those interests.

Legal obligation

Where we must process information to comply with an applicable legal, regulatory, court or other binding requirement.

Consent

Where we ask you to make a genuine choice, including explicit consent for the sensitive matching processing described below and any optional technologies that require consent if they are introduced. You can withdraw consent where consent is our basis for processing.

We tell you when information is required for a particular feature. If you do not provide information that is necessary to create or secure an account, establish eligibility or operate matching, the affected membership feature may not be available.

05

Sensitive and special-category information

Dating services can involve particularly personal information. In particular, using your gender together with the gender or genders of people you would like to meet may reveal, or allow an inference about, sexual orientation. Sexual-orientation information is special-category personal data under UK data-protection law and receives additional protection.

Before MatedSouls uses that information for compatibility and matching, we present a separate explanation and ask for explicit consent. This consent is separate from acceptance of our Terms. Your raw sensitive matching preference is kept private and is not displayed as part of your member-facing profile.

You can withdraw that matching consent from your member controls. When you do, MatedSouls stops using the affected information for matching, clears the stored gender preference describing who you would like to meet, and features that depend on that information may become unavailable until you choose to give fresh consent and provide a new preference.

We may retain a limited consent-history record showing that consent was given or withdrawn, together with information such as the consent version, action, method and time. That audit record is retained for accountability and does not reinstate a withdrawn matching preference.

Please avoid putting unnecessary sensitive information into free text or messages. If particularly sensitive information appears in a profile, message, safety report or support request, we limit its use to the purposes for which we have a valid legal basis and, where required, an additional UK GDPR condition.

06

Matching and profiling

MatedSouls uses information you provide to assess whether two people may be suitable for an introduction. This can include mutual eligibility rules, LifeFit answers, the importance you place on particular topics, matching preferences and readiness requirements.

Internal scoring may be used to organise otherwise eligible potential introductions. MatedSouls does not present members with a public compatibility percentage, claim scientific certainty or pretend that a numerical score can predict a successful relationship.

DateReady is a readiness check rather than a prediction about a relationship. Matching and introduction tools are intended to support introductions, not to make solely automated decisions that produce legal or similarly significant effects on you. Safety and moderation decisions may involve human review where appropriate.

07

Who we share information with

We do not make private account information available to other members simply because they use MatedSouls. Information may be disclosed or made available where necessary to:

  • Other members, but only where information forms part of the member-facing profile, introduction, connection or communication feature involved.
  • Technology, hosting, database, authentication, storage and infrastructure providers needed to operate MatedSouls.
  • Security and fraud-prevention providers used to protect accounts and the service.
  • Address or postcode lookup providers where you use a location lookup feature.
  • Email and communications providers used to send essential service or safety messages.
  • A specialist identity or profile-verification provider if such a service is introduced in future. We will update this notice before materially changing how verification data is handled.
  • Professional advisers, regulators, courts, law-enforcement bodies or other authorities where disclosure is lawful and necessary.

Current service providers

  • Appwrite: authentication and the database, storage and backend services used by the member service. MatedSouls is configured to use Appwrite's Frankfurt region for its core Appwrite data.
  • Vercel: hosting and delivery of the MatedSouls web application.
  • Cloudflare Turnstile: bot and abuse protection during email/password registration and sign-in.
  • Ideal Postcodes: postcode lookup used to derive location information needed for distance and matching features.
  • Stackmail: SMTP infrastructure used to send essential service and safety email from MatedSouls mailboxes.

08

International processing

MatedSouls is a UK service, but some of the technology providers we use operate infrastructure outside the United Kingdom. Appwrite is currently configured to use its Frankfurt, Germany region for the core Appwrite data used by MatedSouls. Other providers, including hosting and security providers, may use international infrastructure as part of providing their service.

Where personal information is transferred from the United Kingdom to a country or recipient that requires additional UK data-protection safeguards, we rely on an applicable adequacy arrangement, an approved contractual safeguard or another lawful transfer mechanism as required for that transfer.

You can contact privacy@matedsouls.co.uk if you would like more information about the safeguards relevant to a particular provider or transfer.

09

How long we keep information

We do not keep every category of personal information for the same length of time. We keep information only for as long as it is reasonably needed for the purpose for which it was collected, to provide the service, protect members and MatedSouls, establish or defend legal rights, or meet applicable legal requirements.

  • Active membership information: account, profile, matching, introduction and communication data may be kept while your membership is active and while it remains necessary to provide the features you use.
  • Sensitive matching consent: when you withdraw the relevant explicit consent, the stored gender preference describing who you would like to meet is cleared and is no longer used for matching. A limited record of the consent and withdrawal may be retained for accountability.
  • Safety and moderation records: reports, moderation decisions and relevant conversation evidence may need to be retained after a connection or membership ends where this is reasonably necessary to investigate concerns, protect members, prevent repeated abuse, deal with disputes or meet legal obligations.
  • Terms and consent audit records: limited records of Terms acceptance and privacy choices may be retained after active use ends where needed to demonstrate what was agreed or what privacy choice was made.
  • Support, security and technical records: these are retained only for as long as reasonably necessary for the support, security, fraud-prevention, diagnostic or legal purpose involved, then deleted or anonymised when they are no longer needed.

Account-closure and erasure requests can currently be made by emailing our privacy or support team. Closing an account and exercising the right to erasure are related but not identical: some limited information may lawfully need to be retained after closure for safety, legal, regulatory or accountability reasons.

Where an exact period is not fixed, we decide retention by looking at the nature and sensitivity of the information, why it is still needed, the risks of keeping it, whether the purpose can be met in a less identifiable way and any applicable legal requirements. We do not use the absence of a fixed period as a reason to keep personal information indefinitely.

10

How we protect your information

MatedSouls is designed so that private member information is not automatically treated as public information. Private member data is mediated by server-side application controls, and access to sensitive systems and information is restricted according to its purpose.

We use technical and organisational measures intended to protect personal information from unauthorised access, loss, misuse, alteration or disclosure. These measures include account authentication, email verification, restricted server-side data access and Cloudflare Turnstile protection on email/password registration and sign-in. No internet service can guarantee absolute security, so we also plan for detection, investigation and response if something goes wrong.

If specialist identity verification is introduced, our design is to avoid keeping raw identity documents such as passport or driving-licence images in the main MatedSouls application database where a specialist provider can handle that material instead. Any such integration will be reviewed and this notice updated before it is relied upon.

11

Your data protection rights

Depending on the circumstances and the lawful basis being used, UK data-protection law may give you rights including:

  • The right to be informed about how your information is used.
  • The right to ask for access to personal information we hold about you.
  • The right to ask us to correct inaccurate or incomplete information.
  • The right to ask for deletion of information in certain circumstances.
  • The right to ask us to restrict processing in certain circumstances.
  • The right to object to certain processing, including processing based on legitimate interests.
  • The right to data portability where the legal requirements for that right are met.
  • The right to withdraw consent at any time where we rely on consent, without affecting processing that was lawful before withdrawal.
  • Rights relating to qualifying solely automated decision-making where the legal requirements for those rights apply.

Your right to object

If we rely on legitimate interests for a particular use of your information, you can object to that processing. We will consider the circumstances and stop the processing unless there are compelling legitimate grounds that override your interests, rights and freedoms, or the processing is needed for legal claims.

To exercise a privacy right, ask for account closure or make an erasure request, email privacy@matedsouls.co.uk. We may need to confirm your identity before acting on a request so that we do not disclose, delete or alter another person's information. Some rights are not absolute, and if we cannot comply fully we will explain the applicable reason where the law allows us to do so.

12

Cookies and similar technology

MatedSouls uses cookies and similar technologies where they are needed to provide secure authentication, keep sessions working, protect registration and sign-in, and remember essential service state.

Email/password registration and sign-in use Cloudflare Turnstile for bot and abuse protection. The current flows use short-lived first-party security cookies named matedsouls_turnstile_signup for registration and matedsouls_turnstile_login for sign-in. Each cookie carries the relevant security-check token to its protected endpoint, is scoped to that flow and is cleared after use by the application.

Our Cookie Policy contains the current cookie inventory and explains these essential technologies in more detail. Before public launch, we will repeat that inventory against the live production service. If non-essential analytics, advertising or other optional technologies are introduced, we will provide the required information and choice before using them where consent is required.

Privacy by design

Personal information should have a purpose.

Our aim is to ask for information because it genuinely helps provide a safer, more thoughtful dating experience — not simply because it is possible to collect it.
